CO-OP SPORTS & SOCIAL CLUB DANE AVENUE, BARROW-IN-FURNESS MINUTES OF COMMITTEE MEETING held on Tuesday, 22nd September, 2020 Present: Mrs B Gillen (Chair), Ms L Chambers (Treasurer), Ms M Thornburrow (Secretary), Mrs J Hewitt, Mrs M Payne, Mrs K Walmsley, Mr P Phizacklea and Mr D Pedley. 2022 Apologies: Mrs J Garner and Mrs E Dawes.
2023 Resignations: The Chair read out three resignation letters, details as follows: • Ms Moira Thornburrow intends to relinquish the role of Club Secretary, as of 31st December, 2020. In the event of no successor being appointed by that date, then she will commit to preparing for the Annual General Meeting in February, 2021 and the writing-up of the Minutes, after which she will hand over all files and the Club computer by 31st March, 2021. • Ms Lynne Chambers intends to relinquish the role of Club Treasurer and Trustee, as of 11th April, 2021. • Mrs Elizabeth Dawes has resigned as of 17th September, 2020. Ms Chambers clarified that whereas the Treasurer’s and Secretary’s work has always been on one Club computer, by the time of the Secretary’s handover there will be separate computers for each role. Ms Chambers also said that following her resignation the role of Club Safeguarding Officer will need to be filled. The Secretary said that she will notify Members of the three resignations by email and the Club’s website. Handwritten applications for the positions can be sent to Mrs Brenda Gillen, Chairwoman, Co-op Sports & Social Club.
2024 Minutes of Previous Meeting: The Minutes of the Committee Meeting held on 28th August, 2020 were approved by the Committee and signed by the Chair.
2025 Treasurer’s Report: Income is starting to come in at a slow rate. Expenses are going up. The Club is approaching lean times as there will be very limited activities taking place. The Treasurer continues to be prudent in the use of the Reserve Fund. Ms Chambers distributed copies of the Treasurer’s Role Description amongst the Committee.
2026 Secretary’s Report: Environment Health had clarified that Committee Meetings and Tap could go ahead. The Quiz Night on 18th September had been well-supported; the next one is planned for 16th October, during which a suggestion to hold fortnightly quizzes will be raised. PP
Tap A small number of ladies had enjoyed the first session, whilst observing the Club’s Covid-19 Guidelines. Sessions will continue on Thursdays, 1-2.15pm. Significant donations had been received from two regular Members of the Tap group. Thank you letters will be sent to the ladies. MT
Darts Three people from the Darts group have taken out Annual Membership.
Bowling Green The Chair read out a letter from Mr Ian Hall outlining Rigby Taylor’s recommendations for green maintenance over the winter. The Committee agreed for independent advice to be sought before committing or otherwise to Rigby Taylor. DP/DW In his letter, Mr Hall expressed gratitude to three Club Members for all their hard work over the last few months, which had proved to be a challenge to everybody. He also thanked the Committee for their support.
Toilet Facilities The Committee agreed that whenever using the Club’s toilet facilities, the postmen/women must sanitize their hands and sign the Track and Trace book.
2027 Maintenance Issues: Exterior painting has been going on.
2028 Bowling Report: Mr Pedley reported that the Society Trophy and Over-55 Singles competitions went ahead with entries of 28 and 23, saying that these numbers would have been higher but for late call offs. He said it was nice to see a mix of men and women competing and despite a lack of bowling this year, there were some good, competitive games. The winner of the Society Trophy was Derek Southward, with a convincing display against Kenny Judge, the losing semi-finalists being Ron May and Rodger Wood. Mr Pedley thanked everyone for their support in these difficult times. Following on from these In-House competitions, Kenny Judge has been organising Saturday afternoon competitions, which seem to have a good following. With this in mind, Mr Pedley said he would probably hold a 16 player round robin event on Saturday, 3rd October as a final event this year.
2029 Advertising Boards: Mrs Payne said that one new board has gone up and there are two payments due for renewal in October. MP
2030 Bar Manager’s Report: Mr Phizacklea said that the runing on three beer lines was proving satisfactory and that he continues to be cautious when purchasing bar stock.
2031 Fundraising: Nil to report.
2032 Fire, Health & Safety: Ms Thornburrow said that she will continue trying to contact CHUBB, to arrange the annual fire checks. MT
2033 ANY OTHER BUSINESS: The Committee agreed that once the kitchen has been emulsioned, the jigsaws can be displayed again. The bookcase will be relocated in the main entrance area below the coat pegs; books will be repriced at 2 for 50 pence. The Chair read out a letter from a Club Member outlining the writer’s concerns about unnamed people’s interpretation of Covid-19 Rules. The contents of the letter were considered and discussed.
